How to add subscribers to an existing segment in Aweber

There have been a few times that I’ve created a new segment in Aweber, which can sometimes be time consuming, and then I realize I’ve forgotten someone. Or, the next day there are a few more names to add to the segment. Dangit!

But, I’ve figured out a way to include new folks in the segments they need to be in, here’s how:

First of all you’ll need to create your segment either by importing new folks (the easiest way) or by updating existing subscribers (can be more time consuming since you have to do them one by one), and sometimes you’re forced to use a combination of the two methods. Either way, use the Additional Notes field of each contact to enter some simple text that will define your new segment. For example, if you have some subscribers that are attending a workshop in April 2016, you could use something like the code: WRKSHP16Apr

Once you’ve entered your chosen text into the Additional Notes field of everyone who needs it, then do a search of your subscribers looking for the Additional Notes field that CONTAINS the code you’ve just added. Make sure you choose CONTAINS instead of just IS – eventually some subscribers might have more info in their Additional Notes field and you want to make sure to include them as well. When your search results are shown simply save those results as a new segment (and I find it’s handy to name the segment the same as the code that you’d including in your Additional Notes).

Once you’ve initially created your segment the tedious part is done. Now, whenever new subscribers need to be added to this existing segment all you have to do is make sure that they have the same code in their Additional Notes field, and they’ll automatically be scooped into that segment that you’ve already created.

The key is to make sure that your segment is using the qualifier of CONTAINS instead of IS so that no matter what else is ever entered into any subscriber’s Additional Notes field in the future, as long as it contains the right code they will always be included in the segment.
